HarborLink LLC (“HarborLink,” “we”) sells IT products and services to businesses and public agencies. This policy explains what information we collect through harborlink.tech, our customer portal at portal.harborlink.tech, and our quotes, orders and support, and how we use, share and protect it. 1. What we collect
- Contact and business details you give us: name, work email and phone, organization, role, and billing and shipping addresses.
- Quotes, orders and invoices: the products and services you ask about or buy, prices, purchase order numbers, delivery and tracking details, and warranty, license and return records.
- Portal account: your sign-in email and the account activity we need to keep it secure and to support you.
- Payments: card and bank payments are handled by our payment processor, Stripe. We receive the payment status and limited details such as the card brand and last four digits. We never receive or store full card numbers.
- Referral partner program: if you join, the tax profile details we need to pay you and the status of your payouts. We do not store full Social Security or Employer Identification Numbers. Payouts are made through Stripe, which collects the bank details it needs directly.
- Messages you send us through our website forms, by email or by phone, including sign-ups for deal updates.
- Technical data: basic information such as browser type, pages visited and IP address, which our hosting and service providers may log.
2. How we use it
- To prepare quotes, process orders, arrange delivery, invoice and collect payment.
- To send transactional messages such as quotes, invoices, order and shipping updates, and support replies.
- To run the customer portal and the referral partner program, including calculating and paying referral fees.
- To keep our systems and your account secure and to prevent fraud.
- To meet legal, tax and accounting obligations.
- To send occasional product and deal updates when you ask for them. You can opt out at any time.
3. AI tools
We use AI tools to help our staff answer questions and prepare quotes, and to power the assistant in our customer portal. When these features are used, the relevant information is processed by our AI service provider on our behalf. Our provider’s commercial terms do not allow it to train its models on that information.
4. Bank account information
We use Stripe Financial Connections only to view the balances of HarborLink’s own business bank accounts, read-only, for our internal financial reporting. We do not use it to access any customer’s or partner’s bank account, and we do not move money through it.
5. How we share information
We do not sell or rent personal information, and we do not share it for anyone else’s advertising. We share it only:
- With service providers that help us run HarborLink, such as payment processing and tax calculation (Stripe), website and application hosting, our database, email delivery and AI tools, each only as needed to provide their service to us.
- With suppliers, manufacturers and shipping carriers, as needed to fulfill, ship, register, warranty or support what you order, for example your shipping address and contact name.
- When the law requires it, to protect our rights or anyone’s safety, or as part of a sale or reorganization of our business.
- With your permission.
6. Cookies and similar technology
We do not use advertising or cross-site tracking cookies. Our portal keeps you signed in using your browser’s storage. The checkout pages of our payment processor, our hosting provider and the web font service our site uses may set their own cookies or log basic technical data under their own policies.
7. Where we store it and how we protect it
We store our records in the United States. We use encrypted connections, limit access to the people who need it, and require sign-in for the portal and our internal tools. No system is perfectly secure, but we work to protect your information and will notify you of a breach that affects you as the law requires.
8. How long we keep it
We keep information only as long as we need it for the purposes above: account details while your account is active, and quotes, orders, invoices and tax records for as long as the law and our accounting require. After that we delete it or remove the details that identify you.
9. Your choices
You can ask us to show you, correct or delete the personal information we hold about you, or to stop sending you marketing emails, by writing to hello@harborlink.tech. We may need to keep some records, such as invoices, to meet legal obligations. Depending on where you live, you may have additional rights under local law, and we will honor them as required.
10. Children
Our services are for businesses and public agencies. They are not directed to children, and we do not knowingly collect information from anyone under 16.
11. Changes to this policy
If we change this policy, we will post the new version on this page with a new effective date. If a change is significant, we will let our customers know.
